Immigration Document Check

IMMIGRATION DOCUMENT CHECK
IMMIGRATION DOCUMENT CHECK PROCESS

Once you have been granted your visa and have successfully travelled to the UK to undertake your studies at Queen's University Belfast, you will need to complete an Immigration Document Check as part of the Enrolment and Registration process.

As part of this process you will be prompted to upload pictures of your current immigration documentation. ISS will then check these before permitting you to proceed and complete the remaining steps of Enrolment & Registration with our colleagues in Student Registry Services.

This process is as follows:

1.  You will need to complete the Enrolment & Registration (E&R) portal steps including the uploading of your immigration documents.
2.  The Immigration Support Service (ISS) Compliance Team will contact you if we require any further information prior to undertaking the check.
3.  After the required documentation has been uploaded the ISS Compliance Team will complete your Immigration Document Check (IDC).
4. A confirmation email will be sent to you once this check has been completed. 
5.  
Once you receive this email you will be able to proceed and finish the remaining steps of the Enrolment and Registration process.

Important Information:

1.  You won't be able to complete Enrolment & Registration until you have arrived in the UK and your Immigration Document Check has been completed.
2.  Please allow at least 3 working days for your Immigration Document Check to be completed once you have uploaded ALL of the required documents.
3.  If any of the required documents are missing, the ISS Compliance Team will contact you.
4.  A confirmation email will be sent to you once your Immigration Document Check has been successfully completed. 

Please Note: Once your check has been completed you will receive an automated email to to confirm that you can proceed to the next stage of the Enrolment & Registration process. These emails will be sent to students every hour between 9 am and 7 pm from 11/09/24 to 11/10/24, including weekends.

What do I need to know?
What Documents do I need to Upload?
  • United Kingdom (UK) or Republic of Ireland Passport holder and Students with Dual Citizenship

    United Kingdom (UK) or Republic of Ireland Passport holder

    If you have been requested to complete an Immigration Document Check but you hold a passport from the United Kingdom or the Republic of Ireland, please follow these steps:

    Upload Your Passport:

    • Log into your Queen's Online account
    • Navigate to Qsis (Queen's Student Information System)
    • Upload a clear, legible copy of your UK or ROI passport at http://go.qub.ac.uk/document-upload

    Document Assessment:

    • Our team will assess your uploaded document(s) as soon as possible
    • Please allow sufficient time for this review process
    • The Immigration Support Service (ISS) Compliance Team will contact you if we require any further information prior to undertaking the check.

    Registration Completion:

    • Once this check has been completed, a confirmation email will be sent to you, you will be then able to proceed and finish the remaining steps of the Enrolment and Registration process.

    Important Note: This process is necessary to confirm your immigration status and ensure that you are not incorrectly categorized in our system.

    If you are a student with Dual Citizenship, please be sure to upload a copy of your UK or Irish passport.

     

  • Student Route Visa – Studying for six months or longer (BRP Holder)

    If you are a Student Visa holder who has received a BRP rather than been prompted to create a Share Code please upload the following information for your Immigration Document Check.

    • Biometric (photo) page of your passport
    • UKVI Decision Letter - this is the letter you received when your passport was sent back to you from the Visa Application Centre - UKVI Decision Letter Sample
    • Entry Clearance Vignette - the yellow sticker in your passport which is valid for 90 days. It should include the dated ink stamp that you received at the Border Control. Please upload a picture of your Entry Clearance vignette to Qsis after your arrival in the UK.

      If you did not receive the dated ink stamp on your vignette when you arrived, for example, because you entered the UK using eGate, please upload your boarding pass and/or travel ticket (please make sure your boarding pass includes your name and your arrival date).
    • Biometric Residence Permit (BRP) Card - (picture of front and back of card) - only applicable if Post Office collection
    • If you are flying directly to the Republic of Ireland (Dublin) - please provide:
      - your train/bus ticket so we can see the date that you entered Northern Ireland
      - a picture of the Green Stamp in your passport that you received upon arrival in the Republic of Ireland (Dublin) or a picture of your Boarding Pass if a stamp has not been received.
      - please see the 'Flying Directly to Dublin' section below which outlines the additional evidence required if you are flying directly to the Republic of Ireland (Dublin)

    If your course requires an ATAS (Academic Technology Approval Scheme) certificate, please upload a copy of it (all pages). Your CAS statement will confirm whether you need an ATAS or not.

    If you are not a student visa holder and do not have a CAS, your offer letter should outline if your course requires an ATAS certificate.

    *ATAS is a certificate issued by the Foreign and Commonwealth Office (FCO) which gives you security clearance to study certain subject sensitive subject areas in the UK. The subjects are those where students’ knowledge could be used in programmes to develop Advanced Conventional Military Technology, weapons of mass destruction or their means of delivery, for example, certain science subjects such as mathematics, engineering, technology or medicine at a postgraduate level (including most integrated master’s courses such as MEng, MPhys, MSci and PhD).   • Student Route Visa – Studying for six months or longer (evidenced by a Share Code)

    If you are a Student Visa holder who has been prompted to create a digital UKVI account and generate a Share Code to evidence your visa status, please upload the following information for your Immigration Document Check.

    • Share Code - You can request a share code here. When obtaining a share code, please make sure you select the category 'Something else' so we can verify your Immigration Status and perform a Right to Study check. Please do not select the option for a Right to Work or Rent check. 
    • Biometric (photo) page of your passport
    • UKVI Decision Confirmation Email - full content of the email needs to be uploaded to Qsis
    • Boarding Pass - please make sure your boarding pass includes your name and your arrival date
    • If you are flying directly to the Republic of Ireland (Dublin) - please provide:
      - your train/bus ticket
       so we can see the date that you entered Northern Ireland
      a picture of the Green Stamp in your passport that you received upon arrival in the Republic of Ireland (Dublin) or a picture of your Boarding Pass if a stamp has not been received.
      - please see the 'Flying Directly to Dublin' section below which outlines the additional evidence required if you are flying directly to the Republic of Ireland (Dublin)

      If you did not receive the dated ink stamp on your vignette when you arrived, for example, because you entered the UK using eGate, please upload your boarding pass and/or travel ticket (please make sure your boarding pass includes your name and your arrival date).
    • If you are flying directly to the Republic of Ireland (Dublin) - please provide:
      - your train/bus ticket so we can see the date that you entered Northern Ireland
      - a picture of the Green Stamp in your passport that you received upon arrival in the Republic of Ireland (Dublin) or a picture of your Boarding Pass if a stamp has not been received.

  • Student Route – Previously studying at another UK Institution
    • Biometric (photo) page of your passport
    • Current Biometric Residence Permit (BRP) Card - upload images of your current BRP Card that allows you to study in the UK (a picture of the front and back page is required)
    • Entry Clearance Vignette - the yellow sticker in your passport which is valid for 90 days. It should include the dated ink stamp that you received at the Border Control. Please upload a picture of your Entry Clearance vignette to Qsis after your arrival in the UK.
    • If you applied for a visa extension from outside the UK, please provide a copy of your Entry Clearance Vignette as outlined above
    • If you applied for a visa extension inside the UK, please provide your Visa Decision Email (full email) confirming that your new visa has been granted and a Share code
    • Evidence of visa application - proof of your submitted application, for example, a copy of your UKVI Document Checklist (pdf) confirming a submitted application and a fee payment receipt to UKVI
    • The Sopra Steria appointment confirmation you received if you booked a biometrics appointment. The confirmation should state the date of appointment
    • New Biometric Residence Permit (BRP) Card - (picture of front and back of card) - only applicable if Post Office collection
    • Share Code - If you have a share code, please upload this to Qsis so that we can verify your immigration status with the Home Office. You can request a share code here. When obtaining a share code, make sure you select the category 'Something else' so we can verify your Immigration Status and perform a Right to Study check. Please do not select the option for a Right to Work or Rent check. 
    • If you are flying directly to the Republic of Ireland (Dublin) - please provide:
      - your train/bus ticket so we can see the date that you entered Northern Ireland
      - a picture of the Green Stamp in your passport that you received upon arrival in the Republic of Ireland (Dublin) or a picture of your Boarding Pass if a stamp has not been received.
      - please see the 'Flying Directly to Dublin' section below which outlines the additional evidence required if you are flying directly to the Republic of Ireland (Dublin)

  • Standard Visitor Visa – Visa Nationals - Prior Entry Clearance
    • Biometric (photo) page of your passport
    • Entry Clearance Vignette – Standard Visitor Visa - the yellow sticker in your passport which is likely to be valid for 180 days. It should include the dated ink stamp that you received at the Border Control. Please upload a picture of your vignette to Qsis after your arrival in the UK.

      *If you did not receive the dated ink stamp on your vignette when you arrived, for example, because you entered the UK using an eGate, please upload your boarding pass and/or travel ticket (please make sure your boarding pass includes your name and your arrival date).

    • If you are flying directly to the Republic of Ireland (Dublin) - please provide:

  • Standard Visitor Visa - Non-Visa Nationals - studying for less than six months
    • Biometric (photo) page of your passport
    • Proof of UK Entry 

      Individuals who are not on the Home Office visa national list can travel to the UK without obtaining a visitor visa beforehand, if studying for less than 6 months. You may receive an ink stamp in your passport when you arrive in the UK, which will be valid for 180 days / 6 months or you can enter through the e-Gates and not receive a stamp in your passport.

      If you did not receive a stamp, you will need to upload your Boarding pass and/or Flight details as evidence of when you entered the UK. This must clearly state your name and date of arrival in the UK, it should also be in English.

      If you did receive a stamp, you would need to upload a picture of this stamp as evidence when you entered the UK.

    • If you are flying directly to the Republic of Ireland (Dublin) - please provide:
      - your train/bus ticket so we can see the date that you entered Northern Ireland
      - a picture of the Green Stamp in your passport that you received upon arrival in the Republic of Ireland (Dublin) or a picture of your Boarding Pass if a stamp has not been received.
      - please see the 'Flying Directly to Dublin' section below which outlines the additional evidence required if you are flying directly to the Republic of Ireland (Dublin)

    Nationals from Australia, Canada, Japan, New Zealand, Singapore, South Korea and the United States of America will be able to use an eGate for fast automated arrival. If you did not receive a stamp, then you will need to save your Boarding Pass or Flight Booking information to upload as evidence of when you entered the UK.

    Students from European Economic Area and Switzerland, who are not eligible for EU Settlement Scheme can also use an eGate entrance as Visitors if their visit is for six months or less.

    The eGates are available at majority of airports and Eurostar terminals across the UK.

  • Asylum / Refugee
    • Biometric (photo) page of your passport - if this is still in your possession or you have a picture of this
    • ARC Card - picture of front and back of card
    • BAIL 201 document - all pages
    • IS 248 document - if you have not been issued with a BAIL 201 document
    • Travel documents (if issued)

    If your course requires an ATAS (Academic Technology Approval Scheme) certificate, please upload a copy of it (all pages). Please check your offer letter, it should outline if your course requires an ATAS certificate.

  • Skilled Worker (Tier 2), PBS Dependant, Global Talent, Temporary Worker, Government Authorised Exchange (Tier 5), Entrepreneur visa (Tier 1), Youth Mobility
    • Biometric (photo) page of your passport 
    • If your course requires an ATAS (Academic Technology Approval Scheme) Certificate, please upload a copy of it (all pages). Your CAS statement will confirm whether you need an ATAS or not. If you are not a student visa holder and do not have a CAS, your offer letter should outline if your course requires an ATAS certificate. 

    If you applied for your visa outside the UK (Leave to Enter)

    • UKVI Decision Letter - this is the letter you received when your passport was sent back to you from the Visa Application Centre - UKVI Decision Letter Sample
    • Entry Clearance Vignette - the yellow sticker in your passport. It should include the dated ink stamp that you received at the Border Control. Please upload a picture of your vignette to Qsis after your arrival in the UK. 

      *If you did not receive an ink date stamp when you arrived, please upload your boarding pass and/or travel ticket (please make sure your boarding pass includes your name and your arrival date). 
    • Biometric Residence Permit (BRP) Card - (picture of front and back of card) - only applicable if Post Office collection

    If you applied for your visa inside the UK (Leave to Remain)

    • UKVI Decision Email (full version of the email)
    • Biometric Residence Permit (BRP) Card - front and back page (if applicable)
    • Proof of when you entered the UK before this visa was granted (this could be a picture of your previous visa, or your entry clearance vignette with the dated ink stamp that you received upon arrival in the UK)
    • Share Code - If you were not issued with a BRP card please provide us with a share code so that we can verify your immigration status with the Home Office online.You can request a share code here. When obtaining a share code, please make sure you select the category 'Something else' so we can verify your Immigration Status and perform a Right to Study check. Please do not select an option for a Right to Work or Rent check. 
  • Indefinite Leave to Remain
    • Biometric (photo) page of your passport
    • UKVI Decision Letter confirming your status being granted
    • Biometric Residence Permit (BRP) Card - (picture of front and back of card)
    • Share Code - If you were not issued with a BRP card please provide us with a share code so that we can verify your immigration status with the Home Office online.You can request a share code here. When obtaining a share code, please make sure you select the category 'Something else' so we can verify your Immigration Status and perform a Right to Study check. Please do not select the option for a Right to Work or Rent check. 
  • EU Settlement Scheme (settled and pre-settled status)

    If you have received Settled or Pre-Settled status the evidence you provide in order to complete your Immigration Document Check will be :

    • your current passport photo page, and 
    • your Share Code so the University can verify your immigration status online.

    You can request a share code via the view and prove your immigration status service , choosing the purpose of the check as “other/something else”. Do not choose any other purpose, such as work or rent, as these codes will not work and this will delay your enrolment.

    If you have a EUSS application pending but have not yet received Settled or Pre-Settled status then you will just need to upload the following documents: 

    • your current passport photo page, and 
    • your certificate of application, which can be relied on to evidence your rights.

    A certificate of application is accessible to view online, via the view and prove your immigration status service.

  • British National Overseas (BNO)
    • Biometric (photo) page of your passport
    • Proof of UK Entry 
    • UKVI Decision Letter confirming your status being granted
    • Share Code - If you were not issued with a BRP card please provide us with a share code so that we can verify your immigration status with the Home Office online.You can request a share code here. When obtaining a share code, please make sure you select the category 'Something else' so we can verify your Immigration Status and perform a Right to Study check. Please do not select the option for a Right to Work or Rent check. 

    You can request a share code via the view and prove your immigration status service , choosing the purpose of the check as “other/something else”. Do not choose any other purpose, such as work or rent, as these codes will not work and this will delay your enrolment.

How to Upload these Documents

Whilst completing the online registration process you will be prompted to upload your immigration documentation. Uploading this documentation will allow the ISS Compliance Team to carry out your Immigration Document Check. You will not be able to proceed to the next step of the Enrolment & Registration process until this check has been fully completed.

What Happens Next?

Each time you submit a document, it will be sent through to the Immigration Support Service for verification.

We will check your documents and contact you to either confirm that we have successfully completed your Immigration Document Check or to advise if additional information is required.

Important Information if you are Flying Directly to Dublin

Some students may choose to travel to the Republic of Ireland (Dublin). Please note that you will need to ensure that you have valid immigration permission to travel to the Republic of Ireland. You will need to retain evidence of the date you entered Northern Ireland where possible, and we will need to retain a copy of this for our records. Unfortunately, we are unable to provide advice on applying for visas for the Republic of Ireland. Further information is available on the UKCISA website.

If you are flying directly to the Republic of Ireland (Dublin) - please provide:
1. Train or bus ticket so we can see the date that you entered Northern Ireland
2. Picture of the Green Stamp in your passport that you received upon arrival in the Republic of Ireland (Dublin) or a picture of your Boarding Pass if a stamp has not been received.

  • Can I fly directly into Dublin and then travel onwards by public transport or by rented car to Belfast?

    If you have applied in your home country for a student visa or visit visa/entry clearance before travelling, you can arrive directly into Dublin.

    Your UK visa / entry clearance will not be date stamped on entry to the UK, but this is fine. You must ensure you enter the UK (Northern Ireland) within the validity of your UK visa Entry Clearance vignette.

    Please retain the following documents as you will need to present them to us when completing your immigration document check and for any BRP distribution:

    • Flight Booking Confirmation
    • Flight Boarding Pass - please make sure your boarding pass includes your name and your arrival date
    • Proof of your journey from ROI to UK (NI), for example:
      - Bus ticket
      - Train ticket
      - Car rental booking confirmation
  • Can I fly directly into Dublin and then travel onwards with a friend/family member in a personal car to Belfast?

    If you have applied in your home country for a student visa or visit visa / entry clearance before travelling, you can arrive directly into Dublin.

    Your UK visa / entry clearance will not be date stamped on entry to the UK, but this is fine. You must ensure you enter the UK (Northern Ireland) within the validity of your UK visa Entry Clearance vignette.

    Please retain the following documents as you will need to present them to us when completing your immigration document check and for any BRP distribution:

    • Flight Booking Confirmation
    • Flight Boarding Pass - please make sure your boarding pass includes your name and your arrival date)
    • Any proof of your journey from Dublin to Belfast - for example a toll receipt showing the date you travelled to Northern Ireland (UK), or a card payment receipt(s) (a purchase made in the ROI and NI - the same date/different timing)
    • If you are residing at Queen’s accommodation, your check-in confirmation

    We are required to verify that you entered the UK (NI) within the validity of your UK visa entry clearance vignette. As you will have travelled by personal car, we understand that you may not have proof of your journey from ROI to NI (UK). Therefore, we need to be able to verify the date you entered NI (UK) by other means.

UK Visas and Immigration (UKVI) are developing a digital immigration system and replacing physical documents with an online record of your immigration status. This is known as an eVisa. The documents being replaced are:

The UK visa system will transfer to a digital-only service from 1 January 2025. This means that all physical visas will expire by 31 December 2024 and be replaced by electronic visas. Please see below 'eVisa FAQs' section for more information.

Students with a Biometric Residence Permit (BRP) expiring on 31 December 2024 can now create a UKVI account and access their eVisa, without needing an invitation from UKVI to do so.

  • What is an eVisa?

    An eVisa is an online record of your immigration status and the conditions of your permission to enter or stay in the UK. You will need to create a UKVI account to be able to access your eVisa.  

    Updating your physical document to an eVisa does not affect your immigration status or the conditions of your permission to enter or stay in the UK. 

    In the future you’ll be able to use an eVisa to travel to the UK. You will not need to carry a physical document, except for your current passport, which must be registered to your UKVI account. Until the end of 2024 you will need to continue to carry your physical document when you travel, if you have one. 

    The benefits of eVisas include: 

    • Security - they are secure and cannot be lost, stolen or tampered with, unlike a physical document 
    • Convenience - you won’t need to wait for, or collect, a physical document after your application has been decided
    • Ease of travel across the border - it should be quicker and easier to prove your immigration status when entering the UK

  • Why do I need a UKVI account?

    UKVI are replacing physical documents with an online record of your immigration status.  

    You need to create a UKVI account to access your eVisa and share information about your immigration status and conditions, such as your right to work or rent in the UK, using the view and prove service.  

    You do not have to pay to create a UKVI account.

  • How will I use my UKVI account?

    Once you have created your UKVI account you will be able to view the details of your eVisa online, for example your type of permission, when it expires and your conditions of stay in the UK.  

    You can update your personal information in your UKVI account, such as your contact details.  

    Your eVisa will be linked to your passport in your UKVI account. You must keep your passport or ID card details up to date in your UKVI account and tell UKVI about any changes, so that your immigration status can be easily identified at the UK border. You’ll still need to carry your current passport with you. 

    If you’ve told UKVI that you have a new passport and you’re still waiting for confirmation that your UKVI account has been updated, you should also carry your old document with you, if possible, to avoid unnecessary delays at the border. 

    You can share your immigration status information with third parties, such as employers or landlords, by generating a share code in the view and prove service, which will give them time-limited access to your immigration status information. You can get a new share code whenever you need one - you do not have to remember a single unique code to be able to prove your status. 

    UKVI will continue to share relevant information about your immigration status automatically with some government departments and other public authorities. This will reduce the need for you to interact with online services when proving your immigration status. 

  • How do I get an eVisa and a UKVI account?

    If you have a Biometric Residence Permit (BRP)
    If you have a Biometric Residence Permit (BRP) that expires on 31 December 2024, UKVI will tell you how to create an account and access your eVisa before the expiry date of your BRP. 

    If you have already been contacted to create an account, either by email or in a decision letter, you can follow the instructions sent to you to create a UKVI account. 

    If you have not yet been contacted about creating an account, you will be able to create your account and access your eVisa later in 2024. Sign up for updates on this page to keep up to date on when you’ll be able to access your eVisa.  

    If you have permission to stay in the UK, once you’ve created your UKVI account you will be able to sign in to the view and prove service to access your eVisa. 

    If you have another physical document
    If you have indefinite leave to enter or indefinite leave to remain (also known as settlement) and you currently prove your rights through a different type of physical document, such as a wet-ink stamp in your passport or a vignette sticker, then you should make a ‘no time limit’ (NTL) application.

    If your NTL application is successful, you’ll get a BRP to prove your rights. You should carry your BRP, along with your passport, when travelling internationally. Once you have a BRP, you’ll be able to create a UKVI account to access your eVisa later this year.

    If you have a Biometric Residence Card
    If you have a Biometric Residence Card (BRC) and you have been granted status under the EU Settlement Scheme, then you already have an eVisa and you do not need to take any action to obtain one. You can find details of how to access and use your eVisa (your digital status) in your grant letter or email. You should continue to carry your BRC with you when you travel internationally.  

    If you have a BRC and you have not been granted status under the EU Settlement Scheme, obtained another form of immigration leave, or become a British citizen, then your BRC is no longer valid, even if it appears to still be in date. This is because the UK has left the EU, and the EU free movement law no longer applies.

    To continue living in the UK you should get an immigration status as soon as possible. You may be able to make a late application to the EU Settlement Scheme as a family member of a relevant EU, other EEA or Swiss citizen. Do not travel internationally until you have obtained a proof of your immigration status.

    If you are a British or Irish citizen with a passport, or you have the right of abode
    If you are a British or Irish citizen, and you hold a British or Irish passport, you do not need an eVisa or a UKVI account and do not need to do anything. You should continue to use your passport to prove your status in the UK.

    If you are a British citizen and are also a national of another country (other than Ireland), or you have the right of abode in the UK and you do not have a British passport, then you may need to take action in future. 

    If you have the right of abode in the UK and you still have your BRP, check what you need to do with your BRP after being granted citizenship.

    If you need to make a new application
    If you need to make a new application for permission to stay in the UK, you should follow the usual application process. There will be information and guidance provided during your application process if you need to create a UKVI account.
