Pay and Conditions

The University offers a comprehensive employment package, part of which is your terms & conditions of employment.

  • SALARY SCALES

    Salary scales currently used in the University can be found below and under 'Useful Links'. Please note these scales exclude the employers’ costs for National Insurance and Superannuation.

    • Grades 1-9/ AC1-AC5 Salary Scales
    • Grade 10 Salary Scale
    • Professorial Salary Scales
    • ECIT Salary Scales

    Your salary will normally be paid on the last day of the month or the previous Friday if this falls on a weekend, with the exception of holiday periods e.g. Christmas. Increments on scale, where payable, take effect for Clerical, Technical and Operational staff on the 1 August each year, and for Academic and Academic Related staff on the 1 October each year, unless as otherwise stated in your appointment letter.

  • HOURS OF WORK, OVERTIME AND SHIFT ALLOWANCE

    Your appointment letter and/or your written statement of terms and conditions of employment will indicate the number of hours in your normal working week which you are expected to work.

    Staff Grades 1-5

    For those staff at Grades 1-5, the normal working week is 37 hours per week except for those staff where separate arrangements are agreed to facilitate efficient working practices which may include 7 day working arrangements.

    • Specific working arrangements are as determined by line management to meet the operational requirements of the department. Any variation will be made after appropriate consultation.

    Staff Grades 6/Ac1+

    • The working hours of staff at Grades 6/AC1 and above is based on normal working hours of 37 per week, together with such additional hours as are required to complete and fulfil their duties.
    • Specific working arrangements are as determined by line management to meet the operational requirements of the department. Any variation will be made after appropriate consultation.

    Overtime

    • Overtime (relates to staff Grades 1- 5)
    • Overtime working should not form a regular part of an employee's working week except in circumstances where a normal working week beyond 37 hours is necessary.
    • In many instances staff in levels 1 - 5 will not normally be paid overtime but will, in agreement with their line manager, take time off in lieu, at time and a half.
    • Where overtime payments are necessary to cover work beyond 37 hours, this will be paid at a single harmonised rate of time and a half except for University recognised/public holidays which will be paid at double time. Overtime will apply in circumstances where a longer week beyond 37 hours is necessary.

    Shift Allowance

    Shift allowances are payable only to designated staff who work the appropriate arrangement as specified in the appointment letter. These payments normally apply to Operational Staff who work regular shift patterns such as Security Staff, Centre Attendants, Library Attendants.

    15% Regular Shift Allowance

    Where there is a requirement to work on a regular shift basis over a 7 day period (ie : where there are regular starting and finishing times of shifts), a shift allowance of 15% will be paid. For regular shifts, there could be minor variations in terms of starting and finishing times though these would not be significant.

    18% Irregular Shift Allowance

    Where there is a requirement to work on an irregular shift basis over a 7 day period (ie : where there are significant differences in the starting and finishing times of shifts), a shift allowance of 18% will be paid.

    6% Night Shift Allowance

    Where there is a requirement to work throughout the night on night shift (ie: where the significant period of the shift is worked after midnight), a night shift allowance of 6% will be paid.

    NB:

    • The payment of shift allowances will not be taken into account when calculating overtime and such payments are not pensionable.
    • Shift allowances will only be paid when the necessity to work over a 7 day period is a regular requirement. Where there is not a regular requirement to work over a 7 day period, a shift allowance will not be paid. Where there is an ad hoc requirement to work over the normal 5 day arrangement, time will be taken off in lieu. Overtime payments may be made in agreement with the Line Manager.
    • If working over a 5 day period, which includes a Sat/Sun, a shift allowance will not be paid, eg: working Thurs – Mon 5 to 9 pm.

    Other Allowances

    Additional specified allowances are payable only to those who work the appropriate arrangement as specified in the appointment letter such as emergency call out or first aid.

    Cover over Closure Periods

    Some departments, e.g. Library, PEC will continue to provide cover over the Christmas and Easter closures. Where staff are required to work on a closure day, they will be paid at single time and that holiday will be taken at another time as agreed with the management.

  • TERMS AND CONDITIONS

    The terms and conditions of employment are the elements of your contract which help to define the relation between the University and you the employee. The University has terms and conditions of employment which apply to all academic and support staff, as well as detailing the terms and conditions of employment which are specific to clinical academic and professorial staff.

    This statement of terms and conditions should be read in conjunction with your appointment letter.

  • TRADE UNIONS

    The University recognises the following trade unions for representative purposes for categories of staff listed and members of staff are free to decide whether or not to become members:

    • University and College Union (UCU) for Academic and Academic Related staff
    • Northern Ireland Public Service Alliance (NIPSA) for Clerical and Related staff
    • Unite the Union (Unite) for Technical and Operational staff

    These unions are involved in collective agreements that directly affects the terms and conditions of staff. Future changes to Conditions of Employment resulting from the procedures for revision are automatically binding on members of staff. Details of any changes are normally notified to members of staff in writing and/or included in the Human Resources web pages (previously referred to as Online Staff Handbook). Details of any agreements may be consulted in the Human Resources Directorate at any reasonable time.

    The University holds regular meetings with the Trade Unions:

    • The Joint Consultative Committee, comprising University Management and representatives of the three recognised Trade Unions, meets to discuss employment matters which are common to all categories of staff.
    • The Joint Consultative and Negotiating Committee, comprising University Management and representatives of UCU, meets to discuss issues particular to academic and academic-related staff.
